Secure SharePoint hub streamlined hiring with automation and governance

The Challenge

The HR department faced significant challenges in managing their hiring pipeline due to a decentralized and insecure environment. The manual process of sharing candidate resumes, evaluation forms, and recorded interview sessions among recruiters, hiring managers, and department leads was not only time-consuming but also error prone. Maintaining accurate permissions and ensuring compliance with data privacy standards were ongoing concerns that hindered effective candidate management.

Our Solution

To address these challenges, we engineered a dedicated SharePoint site, designed to function as the centralized hub for all candidate pipeline activities. This site features well-organized SharePoint lists, calendars, and document libraries specifically configured to store and facilitate easy retrieval of resumes, application forms, and interview feedback. To further enhance the system's efficiency, we implemented a Power Automate workflow that seamlessly transfers recorded interview sessions from the interviewer's OneDrive directly into the SharePoint site.

This automated process not only reduces manual handling but also ensures that recorded interviews are stored securely and structured in a way that only authorized personnel have access. The result is a streamlined, compliant, and secure hiring process that significantly improves data governance and offers a consistent, user-friendly experience across the HR department.
